Everything You Need to Know About Working With a Transaction Coordinator
About Transaction Coordination
1. What is a transaction coordinator and what do they do?
A transaction coordinator, or TC, is a real estate professional who manages every administrative detail of a transaction from the moment a contract is signed to the day it closes. Think of a TC as the behind-the-scenes partner who makes sure nothing falls through the cracks. While you are out building relationships, showing homes, and winning listings, your TC is tracking deadlines, managing documents, coordinating with lenders, title companies, inspectors, and other agents, and making sure every piece of paperwork is complete, accurate, and compliant. A great TC does not just push paper — they protect your timeline, your reputation, and your clients experience from contract to close.
2. What is the difference between a transaction coordinator and a real estate agent?
A real estate agent represents buyers or sellers in a transaction and is responsible for negotiating, advising, and guiding clients through the buying or selling process. A transaction coordinator is not a licensed agent acting on behalf of a client — we are the administrative and compliance expert working behind the scenes to support the agent. We make sure all the paperwork, deadlines, and coordination between parties is handled flawlessly so the agent can focus on serving their clients and growing their business.
3. What is the difference between a transaction coordinator and a real estate assistant?
A real estate assistant is a generalist who handles a wide range of tasks including answering phones, managing your calendar, database management, marketing, and general administrative support. A transaction coordinator is a specialist. Our entire focus is on one thing — managing your transactions from contract to close with precision and compliance. We know the deadlines, the documents, the contingencies, and the parties involved inside and out. Think of a real estate assistant as someone who helps you run your business and a TC as someone who makes sure every deal you close is protected from start to finish.
4. At what point in a transaction does a TC get involved?
At Precision Partners we get involved the moment a contract is fully executed — meaning all parties have signed. From that point forward we take ownership of the administrative process all the way through to closing. For our listing coordination service we can get involved even earlier, helping you prepare all pre-market documents, coordinate vendors, and ensure your listing launches cleanly. The earlier you loop us in the smoother everything runs.
5. What happens during the contract to close process?
Once a contract is executed your TC springs into action. We review all documents for completeness and accuracy, set up a transaction timeline with all key deadlines, open escrow and coordinate with the title company, communicate with all parties including the lender, co-op agent, inspectors, and attorneys, track contingency deadlines and send timely reminders, collect and review all required disclosures, and ensure your file is fully compliant and ready to close. On closing day we confirm all final documents are in order so you can hand your clients the keys with complete confidence.
6. What documents does a TC manage?
Your TC manages the full range of transaction documents from the purchase agreement and all addendums to disclosures, inspection reports, repair requests, title documents, loan documents, and compliance checklists. We make sure every document is completed correctly, signed by all required parties, and stored in your file in an organized and compliant manner. Nothing gets missed and nothing falls through the cracks.
7. How does a TC communicate with all parties in a transaction?
We serve as the central communication hub for your transaction. We proactively reach out to all parties including the co-op agent, lender, title company, inspector, and attorney to coordinate timelines and keep everyone on track. We keep you informed every step of the way so you always know exactly where your deal stands without having to chase anyone down yourself.
8. What happens if a deal falls apart — does the TC still get paid?
This is one of the most common questions agents have and it is a fair one. At Precision Partners our policy is straightforward — if a transaction falls apart before closing, we handle it on a case by case basis depending on how far into the process we are and how much work has been completed. If we are early in the transaction and minimal work has been done, we work with you. If significant time and effort has already been invested managing documents, coordinating parties, and tracking deadlines, a partial fee may apply. We believe in transparency and will always have that conversation with you openly and honestly. Our goal is a long term partnership with you, not a single transaction, and we stand behind that.
Working With Precision Partners
9. How do I get started with Precision Partners?
Getting started is simple. Reach out through our contact form or give us a call and we will schedule a complimentary consultation to learn about your business and how we can best support you. Once we are a good fit we will walk you through our onboarding process, get you set up on our systems, and be ready to take on your very next transaction. Most agents are up and running within 24 to 48 hours.
10. How quickly can you take on a new transaction?
We can typically take on a new transaction within 24 hours of receiving the executed contract and all relevant documents. We know that real estate moves fast and we are built to move with it. The sooner you send us your file the sooner we can get to work protecting your timeline.
11. Will I always work with the same person?
Yes. When you work with Precision Partners you work with Mandy Kendrick on every single file. You will never be handed off to a team member you have never met or assigned to whoever is available that day. That consistency is one of the most important things we offer — you know who is handling your deals, you trust that person, and your clients experience reflects that professionalism every time.
12. Do you work with both buyer and listing agents?
Yes. We support both buyer side and listing side transactions. Whether you are representing a buyer from offer to close or a seller from listing launch through closing day, Precision Partners has a service designed specifically for you. Many agents use us for both sides of their business.
13. How do you communicate with me throughout the transaction?
We communicate in whatever way works best for you — email, phone, or text. You will receive regular updates throughout the transaction so you always know where things stand. We also proactively flag any issues or upcoming deadlines before they become problems. Our goal is to keep you informed without overwhelming you so you can stay focused on your clients.
14. What software and tools do you use?
We use industry standard transaction management tools to keep your files organized, your deadlines tracked, and your documents stored securely. During our initial consultation we will discuss your current systems and make sure our workflow integrates seamlessly with how you already do business. We adapt to you — not the other way around.
15. What happens if I have a question outside of business hours?
We understand that real estate does not always happen between 9 and 5. While our primary business hours are Monday through Friday, we are responsive and do our best to address urgent questions as quickly as possible. If something time sensitive comes up outside of regular hours do not hesitate to reach out and we will get back to you as soon as we can.
16. How are your services priced?
Our pricing is per transaction with no monthly retainers and no hidden fees. You only pay when we work a file. Pricing varies based on the service and scope of work involved. Please visit our services page or reach out directly for current pricing details and to discuss which service is the right fit for your needs.
17. How and when do I pay?
Payment details are discussed during your onboarding and outlined clearly in your service agreement before we begin. We believe in complete transparency around fees so there are never any surprises. Reach out and we will walk you through everything before you commit to anything.
Is a TC Right For Me?
18. Do I need a TC if I only close a few deals a year?
Absolutely. In fact agents who close fewer deals often have the most to gain from a TC partnership. When every transaction represents a significant portion of your annual income, the cost of a missed deadline, a compliance error, or a frustrated client is even higher. A TC ensures that every single deal you close is handled with the same level of care and precision regardless of how many you have open at once. Whether you close five deals a year or fifty, your clients deserve a seamless experience and so do you.
19. I am a new agent — is a TC right for me?
Absolutely. New agents have the most to gain from a TC partnership because you are still learning the ropes of the transaction process while also trying to build your client base and your reputation. Having an experienced TC in your corner means you have a safety net on every deal — someone who knows the deadlines, the documents, and the compliance requirements inside and out. It allows you to show up for your clients with confidence even while you are still growing.
20. I am an experienced agent — why would I need a TC?
Experienced agents often need a TC most of all — because the more successful you become the more transactions you are managing simultaneously and the higher the stakes if something goes wrong. A TC does not just help you avoid mistakes, she helps you scale. When your administrative burden is handled by a dedicated professional you can take on more clients, close more deals, and build the kind of business that actually gives you your life back.
21. How much time will a TC actually save me?
Most agents report saving 10 to 15 hours per transaction when working with a TC. If you are closing even 10 deals a year that is up to 150 hours — nearly four full work weeks — back in your calendar every year. Those are hours you can spend prospecting, with clients, with your family, or simply not working on weekends. The time savings alone make the investment worthwhile for most agents.
22. Will my clients know I am using a TC?
That is completely up to you. Many agents introduce their TC as part of their team which actually elevates the client experience and reinforces your professionalism. Others prefer to handle all client facing communication themselves while the TC works behind the scenes coordinating with all other parties. We are flexible and will adapt to however you want to position our partnership to your clients.
23. Is hiring a TC worth the cost?
For the vast majority of agents the answer is yes. When you factor in the hours saved, the errors avoided, the compliance protection, and the improved client experience, a TC more than pays for herself on every transaction. More importantly the growth that becomes possible when your time is freed up — more clients, more deals, more referrals — far outweighs the per transaction fee. Most agents who hire a TC wonder how they ever managed without one.
Illinois Specific
24. Are you based in Illinois?
Yes. Precision Partners TC is proudly based in Macomb, Illinois. We are deeply familiar with the Illinois real estate landscape and the specific contract requirements, deadlines, and compliance standards that Illinois agents and their clients need to navigate. You are not working with a national platform that treats every state the same — you are working with someone who understands Illinois real estate from the inside.
25. Can you work with agents anywhere in Illinois?
Yes. While we are based in Macomb we work with real estate agents throughout Illinois. Our process is fully remote and designed to work seamlessly regardless of where in the state you are located. Whether you are in Chicago, Peoria, Bloomington, Quincy, the Quad Cities, or anywhere in between we are ready to support your transactions. We are working on making Precision Partners a Nationwide service.
26. Do you understand the Illinois attorney review period?
Yes. The Illinois attorney review period is one of the most important and time sensitive components of an Illinois real estate transaction. We track this deadline carefully on every file and make sure all parties are aware of the timeline and requirements. Missing or mishandling the attorney review period can have serious consequences for your deal and your clients — and that is exactly the kind of thing we exist to prevent.
27. Are you familiar with Illinois disclosure requirements?
Absolutely. Illinois has specific disclosure requirements that must be met for every residential real estate transaction including the Residential Real Property Disclosure Report and lead paint disclosures for older homes among others. We make sure every required disclosure is included, completed correctly, and delivered within the required timeframe so your transactions stay compliant and your clients are protected.
Our Services
28. What is included in your transaction coordination service?
Our transaction coordination service covers everything from the executed contract to the closing table. This includes reviewing all documents for completeness and accuracy, building a comprehensive transaction timeline, coordinating with all parties including lenders, title companies, co-op agents, inspectors, and attorneys, tracking and managing all deadlines and contingencies, collecting and organizing all required disclosures, communicating proactively with all parties throughout the process, and ensuring your file is fully compliant and ready to close. You hand us the file and we handle the rest.
29. What is listing coordination and how is it different from transaction coordination?
Transaction coordination begins when a contract is executed and takes the deal through to closing. Listing coordination begins before the property ever hits the market. Our listing coordination service helps you launch every listing professionally and efficiently — we coordinate the pre-market process, manage vendor timelines, prepare listing documents, and ensure all disclosures are in order before you go live. Think of it as the service that makes your listing launch seamless so you can focus entirely on your seller relationship and your pricing strategy.
30. What is included in your listing coordination service?
Our listing coordination service includes coordinating the entire pre-market process from scheduling staging consultations to preparing listing documents and ensuring all disclosures are in order before your listing goes live. We act as the central hub managing vendors and timelines so you can focus on your seller and your pricing strategy. Every listing you bring to market through Precision Partners will be professional, polished, and positioned for success from day one.
31. What does your offer writing service include?
Our offer writing service is designed to keep your buyers competitive without adding hours to your day. We draft clean, accurate, and complete offers with the speed and precision your buyers deserve. We ensure all required terms, contingencies, and addendums are included correctly so your offers are taken seriously and your clients stay protected. In a fast moving market having offers prepared accurately and quickly can make all the difference.
32. What does your agent marketing service include?
Our agent marketing service is designed for the agent who wants a consistent, professional brand presence without spending hours managing content. We act as your personal marketing director handling social media management, email newsletters, and premium property marketing packages for your listings. We execute a sophisticated marketing strategy that attracts your ideal clients and reinforces your status as a market leader — all while you focus on doing what you do best.
33. Can I use more than one of your services at the same time?
Absolutely. Many of our agents use a combination of services — for example using listing coordination to launch a property and then transaction coordination to take it through to close. Others add agent marketing on top of their transaction support to build their brand while we handle their deals. We will work with you to put together the right combination of services for where you are in your business right now.
34. Do you offer packages?
We offer individual services priced per transaction as well as the option to discuss bundled arrangements for agents with consistent transaction volume. The best way to explore what makes sense for your business is to schedule a complimentary consultation and we will put together a recommendation tailored specifically to your needs and your goals.
